Terms & Conditions

Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.  

The Parties  

The parties to this contract are: (a) "the Hirer": the person who makes the booking, being 18 years of age or over and who shall assume responsibility for all party members and visitors who have to follow each rule as well; and (b) "the Owner": Mrs Corinna Klein-Hoffmann, Glatzer Str. 12, 48703 Stadtlohn, Germany.

Agreement  

This hire agreement is made between the Hirer and the Owner. The letting is made on the basis that the property is used for a holiday only and no rights to remain in the property exist for the Hirer or any members of the Hirer’s party.

 Confirmation

All bookings will be acknowledged by email with a booking summary and payment schedule. The owner reserves the right to refuse a booking without giving any reason.  

Payment  

For bookings made more than 8 weeks before the letting period, a deposit of 25% of the rental cost is required. For bookings made from 5th November, 2023 onwards, we take a deposit of 25% from total costs, excluding security deposit, including linen and towels (if booked) and cleaning fee. The balance is payable, in addition to a refundable security deposit of £150, 8 weeks before the letting period. If deposit is not received within 3 days of booking, the Owner reserves the right to release the booking dates. For bookings made within 8 weeks of the letting period, the full rental cost, cleaning fee and linen and towels (if booked) are payable in addition to a refundable security deposit of £150 is to pay within 3 days of booking. For last minute bookings made less than 4 weeks before your stay, payment must be made immediately. For each booking, a cleaning fee of £80 will be charged. Linen and towels are charged depending on the accommodation, when booked. Once the payment is received the Hirer has accepted and agreed to the full terms and conditions. Payments are only accepted by bank transfer.  
Payments are only taken in GBP from 5th November, 2023.

For bookings of 10 nights or more, we grant a 5% discount.
For returning guests we grant a 5% loyalty discount on every booking regardless of the length of stay.

If the rate of VAT changes between the date that the Hirer submits the booking and the date the Owner sends the booking confirmation, the Owner will adjust the rate of VAT that the Hirer pays unless the Hirer has already paid in full before the change in the rate of VAT takes effect.  

Security Deposit  

A refundable security deposit of £150 is required. This is refunded usually within 2 week of guests’ departure, to a bank account specified by the Hirer. All bookings are accepted on the condition that the property is left clean and tidy and in a state that is suitable for occupation for the following hirers. The Hirer shall reimburse the Owner for the cost of any breakages, damage to the property or its contents or for any missing items or additional cleaning. The Owner will notify the Hirer if retention has to be made due to any breach of the terms of these booking conditions or as otherwise provided for in these booking conditions. The property is checked by the Owner or the Owner’s representatives and damage to the equipment at the property or the property itself is fully chargeable to the Hirer. Liability is not limited to the security deposit.  

If the Hirer notices something is missing or damaged in the Owner's accommodation, please let the Owner know within 12 hours of arrival so that the appropriate action can be taken. If there has been any damage or breakages during your stay, it is appreciated to report them promptly, especially before check-out.  

Cancellation  

Once booked, if you notify the Owner, in writing, of the need to cancel the Owner will endeavour to re-let the property for the rental period. If successful, a refund of any monies paid, less a £30 administration charge will be paid. However, if the property fails to be re-let, the Hirer is liable for following cases:  

Cancellations made more than 6 weeks before arrival result in costs of 25% of the total rental price, excluding cleaning fee, linen and towels and refundable security deposit.  

Cancellations less than 6 weeks but more than 4 weeks result in costs of 50% of the total rental price, excluding cleaning fee, linen and towels and refundable security deposit.  

Cancellations between 2 and 4 weeks prior to arrival result in 75% of the total rental price, excluding cleaning fee, linen and towels and refundable security deposit.  

For cancellations less than 2 weeks before arrival no refund is payable.  

The Hirer will be informed before the booked arrival date whether the re-let was successful.  

In the event that the Owner can make a refund, money will be transfered to a bank account specified by the Hirer.  

Curtailment of holiday does not lead to a refund.

If you, the Hirer, are asked to vacate the caravan / holiday park by the holiday park owners or their staff for any reason what so ever, the (caravan) Owner shall not refund any money paid.  

Insurance  

It is strongly recommended that you take out comprehensive travel insurance to cover the cost of cancellation, curtailment, damage to personal belongings or other losses. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation or curtailment. The Owner accepts no responsibility or liability for any injury sustained, loss or damage to any person or property brought on the property, however caused. The Hirer is responsible to for taking out insurances in good time if necessary.  

Personal Belongings

Personal Belongings are at the Hirer’s risk and no responsibility can be accepted for loss of, or damage to, such items.  

Availability  

Every letting is made on the understanding that the property is available for the dates requested. In the unlikely event that the property becomes unavailable through events arising out of the control of the Owner, the Owner may have to cancel the booking. You will be advised of such circumstances as soon as possible and the Owner will refund all monies paid in full but you, the Hirer, will have no further claims against the Owner.  

Occupancy  

The property may only be occupied by those persons named on the booking form. The Hirer shall not part with possession of the property or share it except with those named on the booking form. The maximum occupancy is referring on the given accommodation details, regardless of the age of the guests.  

The Hirer must inform the Owner of the full name, address and date of birth of any person who is traveling with.  

Please don't book for parties of young people, age between 18 and 25, as they will be refused access to the caravan which can be upsetting for everyone concerned. Bookings for celebrations such as bachelorette parties or others will also be refused because this will disturb other persons on the park and can lead to vacating.

Guests, with kids aged 7 or over (only applies for Amy's Haven) are welcome to the accommodation. Unfortunately, we might refuse bookings that include children under the age of seven, as the circumstances of the property are not suitable to accommodate small children, this varies by accommodation (currently, age restriction for safety reasons apply for Amy's Haven). Guest with babies or toddlers who need a travel cot can only book Sleepy Willow, all other accomodations are unsuitable. Furthermore we try to avoid vacating, which would be exasperating for the Hirer and Owner, if other persons on the park feel disturbed. The park owners have the right to vacate in this case and the caravan owner is not obligated to refund then. Parents are not allowed to leave their children unattended at any time.

Please be advised that none of our accommodations are suitable or equipped for babies or toddlers.

Please consider before booking that in the event of a fire the property may not be suitable for you to use a safety exit in the event of a fire. (In case of a fire, the entrance door and windows in the back of the caravan are to use.)  If you feel you will not be able to use a window as an emergency exit in case of a fire, then you should not book the accommodation.

If you are deaf, please note that our smoke / fire alarms only give an acoustic signal. If you are not accompanied during your stay by a hearing person who can alert you to the situation in the event of a fire, please do not book for savety reasons. 

None of our accommodations are suitable for people who are limited in their mobility, this is to consider before booking.

None of our accommodations are specially equipped for babies, toddlers or younger children in general. We provide games but no toys, kitchen equipment designed for children or special furniture for children.

Dog

By arrangement, we allow to bring up to 2 well trained dogs per accommodaton at no extra charge. If you bring your dog(s) without permission or another dog(s) then declared, you are likely to be vacated. The Hirer has to give asked details to the dog at the booking.  

However, the Owner can refuse bookings if there is a suspicion that the dogs are disturbing the peace of the park and other guests.

At the park, your dog must be kept on lead at all times and exercised off the park; there is plenty of space on the dog walking field or along the river. Never leave your dog unattended in the accommodation. The Hirer must fully clean up behind any accidents that do occur at the property. Damage or disproportionate soiling of the indoors / outdoors area by the dog will be removed at the Hirer's expense.  

The Hirer has to bring towels or other cleaning utensils for the dog. For bookings at Sleepy Willow the Hirer needs to bring throws for the dog as well.

If neighbours feel disturbed and report the dog / the Hirer to the park owners, they might vacate; in this case no refund will be paid by the Owner.  

Visitor standards or behaviour  

The park doesn't knowingly allow any guest to use or visit their parks who: (i) has an unspent criminal conviction; (ii) has an entry on a criminal register (including the sex offenders' register); (iii) has any record of any order indicating antisocial behaviour, violence, abuse, public disorder, or criminal damage or any other form of antisocial behaviour; (iv) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (v) is subject to a Risk of Sexual Harm Order or Child Abduction Notice. If the Hirer doesn't disclose this information about hisself / herself or any other member of the party, and it later becomes known to the park or caravan owner, the park owners reserve the right to prohibit or cancel the booking and require that the Hirer, and the other members of the party, leave the park, without refund.  

The Hirer must not allow the holiday accommodation to be used for any dangerous, noisy, illegal or immoral activities. You must not cause a nuisance or annoyance to the park owners, their employees or contractors, the caravan owners or any other person using the park.  

Do not move any furniture from one room to another at the accommodation. As well do not remove any items including towels, decorations or bedding from the caravan for any reason. Please remove shoes before entering carpeted areas of the caravan. Lock the doors and close the windows when leaving the property unoccupied. Please make sure lights, heating or any electrical appliances are switched off when the Hirer and party members go out.  

Never leave your children or dog(s), bbq and parasol unattended for any reason.

Please ensure all bins are emptied and waste is placed in outside bins at the waste recycling area of the park, all dirty dishes, cutlery and glasses are washed and put away and the property is left tidy and clean, with all items where they were at time of arrival.  

Fireworks, candles and Chinese lanterns are not permitted in or around the accommodation or on any part of the park.  

The speed limit on the park is signposted at the entrance. All vehicles must conform to the Road Traffic Act and have current tax, MOT and insurance. The provisions of the Highway Code apply to the roads on the park.  

Guests are not allowed to bring lorries or other commercial vehicles on to the park. This includes towing vehicles. No recreational vehicles can be used on the park. This includes motorised scooters. No mechanical or repair work is to be undertaken on the park. Only 1 vehicle can be parked next to a pitch, parking on the grass is prohibited. All other vehicles must be parked in accordance with the instructions of the on-site staff. In general the Hirer must inform the Owner when booking, if there will be more than 1 car at arrival.  

Please make yourself aware of the nearest fire point.  

Cutting or damaging trees and other vegetation is strictly prohibited and the natural conditions are not to be disturbed. This includes tying ropes to, or driving nails into trees.  

Arrival / Departure  

The letting of the property starts from 4.00 pm on the start date of the holiday and finishes at 10.00 am on the end date of the booking. The Hirer is free to arrive at any time after 4.00 pm on the arrival date but not later than 8.30 pm. These times must be strictly adhered to and in the event of failure to vacate the property by 10.00 am on departure date, the Owner reserves the right to charge the Hirer for any costs, damages or other liabilities incurred as a result.  

EV Charging

It is not allowed, under any circumstances, to charge your electric vehicle with a cable attached to the caravan. Use the EV charger provided on the main car park.

Gas and Electricity, Heating and Water  

The rental is inclusive of these services.  

No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service. The Owner shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the caravan.  

Charging your electric vehicle is porhibited at our property. Non-compliance will result in a fine of £300. The power supply of the property and also the insurance are not designed for electric vehicles. Should damage occur as a result of non-compliance, the Hirer is 100 % liable for the damage incurred in addition to the fine.

Linen and Towels  

The property is supplied with bed linen (if booked); sheets, duvet covers and pillow cases, bath towels. Tea towels and oven cloth are always provided. Beach towels are to be brought by the Hirer. It is forbidden to take the provided towels to the beach or use them for other activities outside the property, other than you want to take them to the laundrette of the park. One set of bed linen is provided for each booking up to 10 nights, for bookings of 11 nights or more, a second set of bed linen can be provided for the Hirer to use if they wish to change the bedding, the Owner has to be informed of that at least 3 weeks prior to arrival. In case of short-term booking, it must be stated directly at the time of booking, whether a second bed linen set is required. Laundry of the first set is not required by the Hirer.  

Smoking (Amy's Haven only)

Smoking is not permitted inside the property. In the storage next to the deck, the Owner provides an ashtray. Smoking on the deck is allowed by using the ashtray. However, if the Hirer causes damage by smoking, the Hirer must be liable for it. The ashtray must be emptied, cleaned and put back into the storage before departure.  

BBQ 

The Owner provides a charcoal grill and bbq utensils that can be used by the Hirer. The grill and utensils have to be cleaned after used and cooling. After cleaning, the grill and utensils have to be stored next to or on the deck depending on the property. It is strictly prohibit to use disposable barbecues at the property or surrounding area. However, if the Hirer causes damage by using the grill, the Hirer must be liable for it.

Parasol (Amy's Haven only)

The Owner provides a parasol including stand (for Amy's Haven). For safety reasons, the parasol must not be left unattanded, whether open or closed. When not in use, the parasol must be removed and put back in the protective cover. Before departure, the parasol must be packed back as found at arrival.

Outdoor furniture

The Owner provides outdoor furniture including cushions. The cushions have to be stored in provided boxes when not used or the accommodations is left, to avoid damage to the material.

Key  

The Hirer undertakes to take all reasonable and proper care of the key to the property for the duration of the stay. In the event of loss of the key, the Hirer shall inform the Owner immediately. A charge of £100 to cover replacements of locks will be payable in the event of lost keys.  

Information about the code of the key safe will be provided once full payment has been received but not earlier than the day of arrival.

Access  

The Owner or their representatives shall be allowed access to the property at any reasonable time during the holiday occupancy.  

Internet Use  

The property is usually provided with wireless internet access for reasonable and proper personal use by the Hirer only. The average internet speed shown cannot be guaranteed and is intended as a guide only. The cost of such reasonable use is included within the rental. Nonetheless the Hirer is not allowed an excessive use or illegal use. The Hirer is responsible for all costs or expenses that are charged to the Owner by his internet provider at the Owner's discretion and which are caused by the Hirer through unauthorized use. The Hirer shall be responsible for and shall indemnify the Owner for losses, demands, expenses, claims or other liabilities whatsoever suffered or incurred by the Owner in the event of any breach of this condition.  

Events outside of the Property Owner’s Control  

The Owner cannot accept liability for events that occur outside its control, such as domestic appliance breakdown, plumbing failure, power cuts and damage that arises from exceptional weather conditions, or other adverse events or circumstances whatsoever. The Owner reserves the right without prior notice to alter, remove or withdraw amenities or facilities either advertised or previously provided to the Hirer.  

Breach of Conditions  

Breach of any of the conditions shall entitle the Owner to terminate this Hire Agreement (by notice in writing or otherwise) whereupon the Hirer shall immediately vacate the property giving vacant possession to the Owner. The Hirer shall indemnify the Owner against all damages, losses, costs and other liabilities incurred by the Owner arising as a result of any breach of these Booking Conditions. The information and description given on the website is for guidance only. Whilst every effort has been made to ensure accuracy, the Owner shall not be liable for any misdescription or incorrect information. These terms are governed by English law. The Hirer and the Owner both agree to submit to the jurisdiction of the English courts.   

The Owner reserves the right to make reasonable amendments or additions to these terms and conditions without notice. 


Park Rules of River Valley Country Park
